Job Description

Akuo is looking for an experienced Executive Assistant, based in the headquarters in Paris, who will provide and lead support to internal parties with a high level of professionalism and in a manner that reflects positively on the organization.

CEO Support

  • Completes a broad variety of administrative tasks for the CEO  including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  •  Plans, coordinates and ensures the CEO's schedule is followed and respected.
  •  Communicates directly, and on behalf of the President and CEO, with Board members and Comex,  on matters related to CEO's initiatives.
  •  Prioritizes, and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature
  •  Provides a bridge for smooth communication between the CEO's office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
  •  Works closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately.
  • Manage the CEO’s contacts
  • Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization.
  • Complete adhoc projects as assigned such as the organization of parties.

Board and Comex Support

  • Assists board members with travel arrangements, lodging, and meal planning as needed
  • Maintains discretion and confidentiality in relationships with all  members
  • Participates in the Comex Comittee  including assisting in scheduling meetings and attending all meetings
  • Assists in coordinating the agenda of senior management team meetings
  • Ability to function well in a high-paced environment; performs additional duties as assigned by executives.

Qualifications

  • Master’s degree required
  • 8+ years of related experience required in working in an executive assistant role supporting Comex Level executives.
  • Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
  • Perfectly fluent in English
  • Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the global operations of the company.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks  with excellent attention to detail
  • Very strong interpersonal skills and the ability to build relationships with all stakeholders
  • Expert level written and verbal communication skills
  • Commitment to excellence - perform duties at the highest level possible on a consistent basis.
  • Team player - have team-oriented experience and approach.
  • Ability to think outside of the box with a sense of urgency. 
  • Demonstrate ability to achieve high performance goals and meet deadlines in a fast paced environment
