Job Summary

As an Executive Assistant / Office Manager Intern, you will work closely with the CEO and leadership team, assisting in administration, operations, and coordination tasks that are critical to the company’s efficiency. This internship is an opportunity to gain hands-on experience in a fast-paced deep-tech startup while developing strong organizational, communication, and problem-solving skills. You will be at the heart of the company’s daily operations, contributing to both strategic and administrative projects.

Main Responsibilities

1️⃣ Administrative & Executive Support

  • Assist the CEO and leadership team with calendar management, scheduling, and travel arrangements.
  • Prepare presentations, reports, and briefing documents for meetings.
  • Support internal communications by drafting emails, reports, and notes.

2️⃣ Office & Operational Management

  • Ensure the smooth day-to-day operation of the office (supplies, logistics, event organization).
  • Coordinate with vendors, service providers, and external partners.
  • Organize team meetings, offsites, and internal events to strengthen company culture.

3️⃣ HR & People Support 🤝

  • Assist in onboarding new hires and managing administrative HR tasks.
  • Maintain records of employee documents and contracts.
  • Help create a positive and collaborative work environment.
Profile

We are looking for an organizational maniac 🗂️ —someone who thrives in structure, efficiency, and problem-solvingin a fast-paced startup environment. It’s all about being structured, keeping things in order, anticipating needs, and ensuring everything runs smoothly.

  • Bachelor’s or Master’s degree in Business Administration, Management, HR, or a related field.
  • Extreme attention to detail and ability to juggle multiple tasks at once.
  • Strong organizational and multitasking abilities—you love making processes smoother and more efficient.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office and collaboration tools.
  • Fluent in both French and English (written and spoken).

Additional Assets

A first experience in administration, HR, operations, or a startup environment is a plus!
