Sulitest is excited to announce an opportunity for an Office Manager to join our team. This position offers a unique chance for you to join a growing impactful company. The Office Manager will work closely with the co-founders, external CFO, and other stakeholders.

Responsibilities:

As the Office Manager, you will be responsible for overseeing the daily administrative, operational and financial functions of our company. You will play a crucial role in maintaining an efficient and productive work environment while supporting the needs of our team members.

Financial Management (40%):

  • Oversee commercial monitoring, ensuring timely issuance of invoices and receipt of payments.
  • Monitor cash flow, record transactions, prepare expense statements, collect receipts and manage the procurement process.
  • Oversee expense and reimbursement process.
  • Process payroll, including salary payments and deductions.

Human Resources Administration (30%):

  • Manage personnel administrative documents: contracts, mutual insurance, occupational medicine follow-up, exit documents.
  • Manage employee benefits, including days off, pensions, special leave, insurance and equipment.
  • Oversee team logistics, including badge issuance, travel, room bookings and other assignments.

Administrative Support (30%):

  • Support the company’s co-founders in general operations and strategic planning.
  • Coordinate board and “ESS” committee meetings, preparing agendas and taking minutes.
  • Oversee the preparation of external files (financial and administrative) and the drafting of reports.
  • Ensure the successful completion of current applications (trademark registration, ESUS accreditation, UN accreditations, research and innovation tax credits, financing applications, international prospecting insurance, etc.) and that deadlines are respected.

Your role may evolve over time as you and Sulitest evolve as well.

Profile

Requirements:

  • You are rigorous, organized, and analytical.
  • You have a Bachelor’s degree in Finance, Business Administration, or a related field (or equivalent experience).
  • You have a minimum of 3 years of experience in a finance and administration role.
  • You are proficient in Excel and have a strong understanding of accounting principles and human resources procedures.
  • You are proactive and capable of working autonomously, while also thriving in a collaborative team environment.
  • You are fluent in French and in English
