General information

Location: Ashoka Belgium’s office (Brussels), availability to travel to Ashoka Switzerland’s office (Geneva) at least once a quarter;

Time commitment: 4 days a week;

Remuneration: Depending on experience;

Start date: ASAP (permanent position with 6 months’ probation period). 


About the role

Working across different programs and teams, the role involves developing and managing the systems and processes that keep Ashoka Belgium and Ashoka Switzerland offices running smoothly. We are looking for someone with solid understanding of finance and management accounting, strong analytical skills, hands-on mentality, love for details and data, who is a real team player and has a passion for social entrepreneurship. The role is based in Brussels but travel to Geneva is expected at least once a quarter. Travel to other European countries might be required from time to time.


About Ashoka Belgium

Ashoka Belgium has been created in 2008 and is focussing on the development of the social entrepreneurial Belgium landscape with 15 Fellows, 14 Changemaker schools, 17 ASN (Ashoka Support Network), corporate partners, foundations and a large community of changemakers. The team is composed of 4 members responsible for the Fellowship, Venture, Education and Partnerships.

About Ashoka Switzerland

Ashoka Switzerland focuses on building global partnerships and is highly connected to Ashoka offices around the world. The Swiss Team is composed of 3 members, all experienced Partnership Managers.

Our ideal candidate would be a natural problem-solver, a serial-organizer and a detail-oriented coordinator.


Responsibilities

Finance Management of Ashoka Belgium [~1 day/week]

Managing accounts payable, accounts receivable, intercompany transfers and bookkeeping according to Ashoka’s and statutory policies and procedures;

* Preparing and updating annual budgets, cashflow forecasts, and income and expenditure reports;

* Tracking pledges and confirmed donations through Salesforce;

* Monitoring and reporting of expenditure according to grant agreements and donations’ restrictions in a timely and accurate manner;

* Coordinating the preparation of Belgium annual report with local auditors.



Ashoka Switzerland Finance Management [~2 days/week]

* Managing accounts payable, accounts receivable, intercompany transfers and bookkeeping according to Ashoka’s and statutory policies and procedures;

* Preparing and updating annual budgets, cashflow forecasts, and income and expenditure reports;

* Tracking pledges and confirmed donations through Salesforce;

* Monitoring and reporting of expenditure according to grant agreements and donations’ restrictions in a timely and accurate manner;

* Coordinating the preparation of Switzerland annual report with local auditors;

* Managing the migration of our financial system from NetSuite into SAP Business One with the support of Ashoka Global Finance Team.



Ashoka Switzerland Legal Compliance, Governance and HR Management [~1 day/week]

* Managing relationships with legal advisors and regulating organizations;

* Ensuring compliance with all Swiss and International Laws for the Swiss office (GDPR, fiscal law, VAT…);

* Timely and accurately managing the Foundation’s filings and comply with legal requirements of Switzerland regulating organizations;

* Organizing board meetings, ensure accurate minutes and coordinate resolutions;

* Managing and improving HR processes according to Ashoka’s policies and statutory requirements;

* Supporting the preparation and renewing of staff contracts;

* Liaising with Ashoka Global HR Team and local payroll fiduciary agency.



Required skills and experience

Essential:

* Highly organized and detail-oriented;

* Experience and extensive knowledge on finance and accounting, preferably in Belgium and/or Switzerland;

* Excellent time management and multitasking skills;

* Able to work on own initiative and under minimal supervision;

* Strong team player;

* Able to communicate clearly and efficiently with diverse audiences;

* Proficient in English and French;

Highly desirable:

* At least 5 years of relevant professional experience;

* Experience in non-for-profit sector, preferably in Belgium and/or Switzerland;

* IT-savvy.

Desirable:

* Familiar with SAP Business One, NetSuite or other accounting system

* Familiar with Salesforce (or other CRM system)
